Packing boxes is one task. Knowing what is in them, where they go, and which ones to open first on the other end is another matter. A move where boxes are clearly labeled cuts unloading time, reduces placement confusion, and helps the reliable moving team protect the items that need special handling.

The system below works for any move type: a local residential move across Chino Hills, a long-distance shipment across state lines, or a commercial office relocation. The approach scales up or down depending on the size of the job.

Why Labeling Matters Before Move Day

Unlabeled or vaguely labeled boxes create problems at two separate points: during loading, when crew members cannot identify fragile or heavy items without opening them, and during unloading, when every box has to be checked before it can be placed correctly.

Clear labels solve both. For a long-distance or cross-country move, proper labeling also supports transit inventory checks and delivery confirmation. For a commercial or office relocation, it is often the difference between a smooth setup day and a misplaced-equipment situation.

The Basic System: Room, Contents, Priority

The most practical labeling system uses three pieces of information on every box:

  1. Destination room: Where the box goes in the new space (Kitchen, Master Bedroom, Home Office, Storage Room, etc.)
  2. Contents summary: A short description of what is inside (winter clothes, kitchen utensils, cables and chargers, files, etc.)
  3. Priority level: Open First, Regular, or Storage (for boxes that will not be unpacked right away)

Write all three on at least two sides of each box. Writing only on the top means the label disappears the moment boxes are stacked, which happens on every move.

Color-Coding Makes Loading and Placement Faster

Color-coding by room gives the crew a visual system that works without reading every label one by one. Use colored tape, markers, or dot stickers, assigning one color to each room. Post a color key at the front door of the new space so the crew knows where each color goes without asking.

For larger households or commercial moves with multiple departments or floors, the setup time for a color-coding system pays off significantly during placement.

What to Write on Every Box

At a minimum, every box should carry the following on two of its sides:

  • Destination room
  • Brief content description
  • Handling notes where applicable: Fragile, Heavy, This Side Up

For fragile items, write FRAGILE on all four sides and the top, not just one face. For heavy boxes, mark them HEAVY so crew members know before lifting. Our team uses these labels to plan load order and placement, so the more specific the labels, the better we can protect what is inside.

Boxes That Need Special Handling

Some items require more than a label. Fragile items, mirrors, artwork, electronics, and specialty pieces like instruments or oversized furniture need specific packing materials and a reserved position in the truck. Identify these boxes before the crew arrives and group them in a visible area.

If you have specialty items, mention them when you request a quote so our team can bring the right materials and build the right plan. We handle specialty items across all service types, including local moves in Chino Hills and long-distance shipments.

The Open First Box

Pack a separate box or bag labeled OPEN FIRST for every room. This is for items you need access to before everything else is unpacked: chargers, toiletries, medications, a few kitchen essentials, key documents, and anything children or pets need right away.

Load these boxes last, so they come off the truck first at the destination. For overnight or multi-day long-distance moves, a personal travel bag that rides with you covers the same ground for the first night away from the truck.

Organizing Boxes Before the Crew Arrives

Stack and group boxes by room before the crew shows up. All kitchen boxes in the kitchen, all bedroom boxes in the bedroom. This lets the crew load room by room without sorting on your behalf.

For a local Chino Hills move, this step alone can reduce total move time by 30 minutes or more. For a larger commercial move, pre-staging by department or floor is the equivalent of preparation.

How Professional Packing Fits In

If organizing and labeling your own boxes is not realistic given your timeline, packing assistance is available. Our team provides full and partial packing services, along with boxes and packing supplies available at our Chino Hills location.

Full packing means our crew handles wrapping, labeling, and staging. Partial packing means you handle certain rooms, and we handle others. Either option follows the same labeling system described above as a baseline on every job.
